QuoteArc Privacy Policy

Effective

QuoteArc stores your quote book on your device. Voice drafting uses Groq through QuoteArc's Vercel-hosted service, and the web app uses privacy-focused Vercel analytics.

Accounts and data stored on your device

QuoteArc has no account or sign-up. Quotes you create, including client details, job descriptions, line items, prices, notes, statuses, and share history, are stored locally on your device. Deleted-quote recovery records, templates, saved lines, and settings are stored there too.

Pending voice recordings and site notes are also stored locally in a limited outbox so they can survive an app restart. QuoteArc keeps at most 12 outbox items and removes items older than seven days when it next lists the outbox or adds a note. A recording is removed after a reviewable draft is ready; the remaining note and draft are removed after you create the quote or delete the saved item.

Voice drafting and online processing

Microphone access is requested only after you tap Start recording. When you stop a recording, QuoteArc sends the audio through a Vercel-hosted QuoteArc function to Groq for transcription, then sends the transcript and relevant quote settings and pricing catalogue to Groq to create a structured draft. When online, pasted notes use the same service. Clearly priced pasted notes can fall back to on-device drafting when offline or if that service fails.

For online voice processing, a random installation identifier is sent for abuse prevention. It is a local abuse partition, not an account, login, authentication credential, or user identity. The server converts it and the request's network address into pseudonymous HMAC partitions. Only a pseudonymous HMAC partition is retained for each rate-limit scope. The raw installation identifier and IP address are not stored in Upstash.

To prevent duplicate paid processing and recover a successful response that is lost in transit, QuoteArc may keep encrypted transcript or draft results in a server retry cache for up to 60 minutes. Idempotency metadata may remain for up to 24 hours. Audio is not stored in this retry cache. If provider completion is uncertain, QuoteArc requires you to retry explicitly or edit the note before it will start a new paid attempt.

QuoteArc's functions do not store audio, transcripts, or AI outputs in a server-side quote-book database. Application logs contain operational metadata such as payload size, media type, processing time, transcript length, line count, and error code, not the recording or note text. Groq says inference inputs and outputs are not retained by default, but may be logged for up to 30 days for reliability or abuse investigations unless the account has Zero Data Retention enabled. Groq always retains usage metadata which it says excludes customer inputs and outputs. QuoteArc does not promise a particular Vercel or Groq retention setting; those external settings and terms must be verified before release.

Voice notes and free-form quote fields may contain personal or sensitive information. Record only what you need, avoid unnecessary sensitive information, and review every generated draft before saving or sharing it.

Web analytics and hosting

The QuoteArc web app is hosted by Vercel and uses Vercel Web Analytics and Speed Insights. These services send page-view, device/browser, approximate location, referrer, and web-performance information to Vercel. QuoteArc does not define custom analytics events containing quote fields. The native iOS and Android app does not load these web-only analytics components.

Exports, backups, and sharing

Backup, CSV, PDF, and other export actions create files only when you choose them. On the web, exports are downloaded by your browser. On iOS and Android, export files are written to QuoteArc's documents directory and can be handed to the system share sheet. Quote sharing, email, messaging, printing, and clipboard actions occur only after you choose the action; the receiving app or service handles its copy under its own privacy policy.

A QuoteArc backup contains your quotes, deleted-quote recovery records, settings, templates, and saved lines. Store exported files somewhere appropriate and delete copies you no longer need. Device, iCloud, Google, browser, or computer backups may retain app data or exported files under the backup provider's settings and privacy policy; QuoteArc cannot delete those external copies for you.

Deletion and retention

Deleting a quote first moves a complete recovery copy into Recent activity. It remains on your device until you recover it or tap Wipe to remove it permanently from QuoteArc's local storage. Deleting a saved voice item removes its local outbox record and native recording file; automatic outbox limits apply as described above.

QuoteArc has no server-side quote-book database or user account from which to recover or delete your quote book. Deleting the app normally removes its local app data, but copies may remain in device backups, downloaded exports, shared destinations, or provider logs until those systems apply their own deletion and retention rules.

Service providers

Vercel hosts the QuoteArc website and online voice-drafting functions and provides the web-only analytics and performance services described above. Groq processes recordings, transcripts, and draft-extraction context for voice drafting. QuoteArc does not sell personal data or use advertising SDKs.

Children

QuoteArc is a business quoting tool and is not designed for children. Do not use voice notes or quote fields to submit unnecessary information about children.

Changes to this policy

If a future version changes how QuoteArc handles data, this policy will be updated before that version is released.
